Draft a Proposal Workflow
Proposals work best when they’re clear, persuasive, and structured around the reader’s needs. This workflow helps you outline your offer, articulate value, and present your ideas with confidence.
When to use this workflow:
• A client or stakeholder needs a formal proposal
• You want to communicate value clearly and persuasively
• The project details feel scattered and need structure
• You’re preparing a pitch, partnership, or service outline
Step 1 - Clarify the Purpose of the Proposal
Start by defining what the proposal is meant to achieve. A clear purpose helps you write with focus and ensures the reader understands the value immediately.
Example:
“Propose a new monthly content package to a client.”
Prompt:
“Help me clarify the purpose of this proposal. Ask me 2–3 clarifying questions if needed.”
Step 2 - Identify the Audience
Determine who will read the proposal and what they care about. Tailoring your message to their priorities increases your chances of approval.
Examples:
- A client who values speed
- A manager who cares about ROI
- A partner who wants clarity and predictability
Prompt:
“Describe the audience for this proposal and list their top priorities.”
Step 3 - Outline the Problem or Opportunity
Explain the challenge, gap, or opportunity that your proposal addresses. This sets the stage for why your solution matters.
Example:
“The client’s current content output is inconsistent, leading to lower engagement and fewer leads.”
Prompt:
“Help me write a clear problem or opportunity statement for this proposal.”
Step 4 - Present Your Solution
Describe what you’re proposing in simple, concrete terms. Focus on clarity, not jargon.
Example:
“A monthly content package that includes four blog posts, two email newsletters, and weekly social posts.”
Prompt:
“Help me describe my proposed solution in a clear, concise way.”
Step 5 - Explain the Benefits
Highlight how your solution helps the reader. Benefits should connect directly to the problem or opportunity you identified.
Examples:
- More consistent content
- Higher engagement
- Stronger brand presence
- Predictable workflow
Prompt:
“List the key benefits of my proposed solution in a way that resonates with my audience.”
Step 6 - Provide Deliverables and Scope
Break down exactly what’s included. This prevents misunderstandings and builds trust.
Example:
Deliverables:
- 4 blog posts per month
- 2 email newsletters
- 8–12 social posts
- Monthly analytics summary
Prompt:
“Help me outline the deliverables and scope clearly and professionally.”
Step 7 - Outline the Timeline
Explain when the work will be completed. A simple timeline helps the reader visualize the process.
Example:
Week 1: Research and planning
Week 2: Drafts delivered
Week 3: Revisions
Week 4: Final delivery and analytics
Prompt:
“Create a simple timeline for this proposal based on the deliverables.”
Step 8 - Share Pricing or Investment
Present the cost in a clear, confident way. If appropriate, include what’s covered in the price.
Example:
“Monthly investment: $1,200. Includes writing, editing, scheduling, and analytics.”
Prompt:
“Help me write a clear pricing section that feels confident and professional.”
Step 9 - Add Terms or Assumptions
Include any important details that protect both parties and set expectations.
Examples:
- Two rounds of revisions included
- Payment is due on the 1st of each month
- Additional work billed separately
Prompt:
“Help me outline simple, fair terms for this proposal.”
Step 10 - Add a Clear Call to Action
Tell the reader exactly what to do next. Make it easy for them to say yes.
Examples:
"Reply to this email to approve the proposal."
"Schedule a quick call to finalize details."
Prompt:
“Help me write a clear call to action that encourages a quick response.”
