Create a Project Plan Workflow

Planning a project from scratch can feel overwhelming, especially when you’re juggling deadlines, tasks, and unclear priorities. This workflow helps you turn scattered ideas into a structured, actionable project plan using AI as your thinking partner.

When to use this workflow:

• A new project needs clear structure before work begins

• Stakeholders are asking for timelines, deliverables, or next steps

• The scope feels fuzzy and you need clarity

• You want a clean plan you can share or execute immediately

Step 1 - Define the Project Goal

Before you build the plan, clarify the main outcome you want to achieve. Keep it simple, specific, and measurable so the rest of the plan has a clear direction.

Example:
“I want to launch a new landing page that explains my services and collects email signups.”

Prompt:
“Help me define a clear project goal for a new project. Ask me 3 clarifying questions if needed.”

Step 2 - Identify Key Deliverables

List the major outputs or milestones the project must produce. These are the tangible checkpoints that show progress and keep everything aligned.

Examples:

  • Draft landing page copy
  • Final design mockup
  • Published landing page
  • Email signup integration

Prompt:
“Based on my project goal, list 3–5 key deliverables I should produce.”

Step 3 - Break the Work Into Tasks

Divide each deliverable into smaller, manageable tasks. This makes the project easier to estimate, assign, and complete without overwhelm.

Example:
Deliverable: Landing page copy
Tasks:

  • Draft headline options
  • Draft body copy
  • Draft CTA
  • Edit and finalize

Prompt:
“Break each deliverable into smaller tasks. Keep tasks simple and actionable.”

Step 4 - Set Deadlines

Assign realistic due dates to each task. Consider dependencies, workload, and any external constraints that might affect timing.

Example:

  • Draft copy: Jan 12
  • Finalize copy: Jan 14
  • Design mockup: Jan 18
  • Publish page: Jan 22

Prompt:
“Help me assign realistic deadlines to each task. Consider dependencies.”

Step 5 - Assign Responsibilities

Identify who is responsible for each task. If you’re working solo, clarify the order you’ll tackle tasks to stay focused and avoid bottlenecks.

Example:

  • You: Draft copy
  • Designer: Create mockup
  • Developer: Publish page

Prompt:
“Assign responsibilities for each task. If I’m working alone, organize tasks in the best order.”

Step 6 - Identify Risks

List potential obstacles or challenges. Note what might go wrong and how you’ll handle it if it does, so you’re not caught off guard.

Examples:

  • Designer unavailable → Use a template
  • Copy takes too long → Use AI to draft first pass
  • Tech issues → Publish a simplified version first

Prompt:
“List potential risks for this project and how to mitigate them.”

Step 7 - Gather Required Resources

Identify the tools, information, people, or materials you need. This prevents delays once the project is underway.

Examples:

  • Brand guidelines
  • Access to the website builder
  • Email platform login
  • Design assets

Prompt:
“List all resources I need before starting this project.”

Step 8 - Create a Timeline

Organize tasks in the order they need to happen. A simple linear timeline is enough for most small projects and keeps everything moving.

Example:

  1. Draft copy
  2. Finalize copy
  3. Create design
  4. Build page
  5. Publish
  6. Test

Prompt:
“Create a simple timeline for this project based on my tasks and deadlines.”

Step 9 - Review and Adjust

Look over the plan to ensure it’s realistic. Adjust deadlines, tasks, or priorities before you start so you’re not constantly revising later.

Prompt:
“Review my project plan and suggest improvements or adjustments.”

Step 10 - Start the Project

Begin with the first task on your list. Keep the plan visible and update it as you make progress.

Prompt:
“Help me get started by outlining the first 3 steps I should take today.”
